REPORTS TO: Managing Partner and Operations Manager  

Work schedule: full-time, hybrid. 

STATUS: Full-time, approx. 35 hours/week 

COMPENSATION: Starting at $70,000.00, dependent on experience

THE POSITION 

We are currently seeking an Executive Assistant who enjoys interacting with a variety of people, quickly finding solutions to daily challenges, and providing administrative support to the Managing Partner, Operations Manager, and other members of our Leadership Team. The ideal candidate will be a detail-oriented individual who enjoys working in a fast-paced entrepreneurial environment. Attention to detail, professionalism, and the ability to act as a team player are necessities for success. One major component of the position will consist of working closely with the Managing Partner to keep her well informed of upcoming appointments and commitments. The executive assistant will also aid the operations department with administrative tasks such as drafting emails, updating processes, communicating with third-party vendors and internal staff, and coordinate team events. 

You will serve as the face of the firm when in the office, responsible for projecting a positive and welcoming image of our practice to walk-in guests, as well as maintaining good customer service and professionalism on the telephone.  

SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO: 

Primary Duties

  • Work closely with the Managing Partner to ensure she is informed of all upcoming appointments and commitments.
  • Advise Managing Partner on opportunities to prioritize.
  • Manage appointment scheduling, calendar maintenance, and mailings.
  • Prepare correspondence, reports, email, and other documents.
  • Receive, screen, and direct telephone calls with a high level of customer service and professionalism.
  • Assist the Leadership Team with administrative support as needed. 

Other Duties

  • Occasionally serve as the first point of contact in the office, projecting a positive and welcoming image to walk-in guests.
  • Support the Operations Department with administrative tasks such as drafting emails, updating processes, and coordinating with third-party vendors and internal staff.
  • Coordinate formal dinner events, team events, cocktail receptions, and causal happy hours to enhance team bonding and improve morale. 
  • Perform office set-up and clean-up as needed.
  • Perform other duties as assigned by supervisors. 

REQUIRED QUALIFICATIONS/SKILLS

  • 5+ years of experience managing multiple executives or executive teams. 
  • Exceptional organizational abilities with a focus on detail and accuracy.
  • Excellent verbal, written, and interpersonal communication skills, and ability to summarize information clearly and concisely. 
  • Expert proficiency with office web applications, including Microsoft Office 365 (especially Outlook, Word, PowerPoint, and Excel), and Adobe.
  • High level of customer service and professionalism when communicating via phone or in person.
  • Ability to listen carefully, take direction, and coordinate work with a variety of personalities.
  • Ability to manage multiple projects, prioritize responsibilities, and multitask.
  • Ability to work under pressure and meet deadlines.
  • Ability to adapt to changing priorities, expectations, and needs in a fast-paced environment.
  • Ability to work well independently and resourcefully, yet knows how and when to ask for help from team members.
  • Proactive attitude.

DESIRED QUALIFICATIONS

  • Bachelor’s degree
  • Experience in a legal setting
  • Fluency in spoken and written Spanish 

PHYSICAL REQUIREMENTS

  • Regularly required to sit for extended periods of time.
  • Frequently required to use hands and fingers (including the use of computer keyboards).
  • Required to use ears/voice to talk or hear (including the use of a telephone).
  • Occasionally required to walk, stand, reach with hands and arms.
  • May occasionally need to lift and/or move reams/boxes of printer paper weighing up to 50 pounds.
