Administrative Assistant (Legal & Marketing)
STATUS: Full-time, approx. 35 hours/week
COMPENSATION: Starting at $45,000 but dependent on experience
SCHEDULE: Monday through Friday, 8:30 a.m. to 5:00 p.m. Candidate may need to occasionally work additional hours depending on firm needs. The position requires 3 days in office after an initial time period of fully in-office work (usually 90 days).

THE POSITION
We are seeking a detail-oriented and organized Administrative Assistant (legal and marketing) to join our fast-paced law firm. This role involves a blend of administrative legal assistant duties and marketing support. Attention to detail, professionalism, and the ability to act as a team player are necessities for success. Past work experience in a law office is preferred.
This role is perfect for someone who wants a behind-the-scenes view into the various aspects of a law firm environment. It is particularly well-suited for someone who is efficient, detail-oriented, adaptable, and a strong writer. You will handle administrative tasks for the firm, but also help coordinate the firm’s social media presence and other marketing efforts.
The proportion of legal to marketing assistance may vary depending on the week and may evolve over time with the firm’s needs.
Legal assistance duties
- Greet clients
- Conference room set-up and clean-up as needed
- Prepare and file Annual Reports
- Prepare and send out mailings
- Prepare print jobs and exhibit binders
- Update client management software
- Track invoices for client expenses
- Assist with intake coverage (incoming phone calls)
- Attend and actively participate in weekly Paralegal Team meetings
- Additional duties may be assigned to aid the paralegal team or the firm's discretion
Marketing assistance duties
- Assist in drafting copy for social posts and managing the firm’s social media (LinkedIn, Facebook, Twitter)
- Assist in managing the LinkedIn presence of select attorneys
- Collect social media data and help prepare related reports and presentations
- Manage the firm’s LinkedIn newsletter
- Assist preparation for speaking engagements and events (may involve writing attorney bios, engaging descriptions of presentations, etc.)
- Assist with creating and formatting PPT and other presentations
- Prepare attorney awards submissions
- Assist with webinar management and marketing plans for webinars
- Other tasks as needed, such as proofreading draft newsletters, assisting in drafting email blasts, drafting podcast show notes, creating podcast episode art, etc.
- Assisting with marketing-related client communications
- Attend and actively participate in weekly Marketing Team meetings
- Additional duties may be assigned at the firm's discretion
